Who is responsible for the information
Prismo Web Solutions, based in Knoxville, Tennessee, operates this website. Questions about this notice or a privacy request can be sent to [email protected].
Information you provide
When you use the project inquiry form or contact Prismo directly, Prismo may receive your name, work email, company, website, role, objectives, project type, budget band, timeline, integrations, project context, consent record, and any other information you choose to provide.
Please do not submit passwords, payment card details, health information, government identifiers, confidential client data, or other sensitive information through the inquiry form.
When Prismo invites you to a managed client portal, the portal may process your name, work email, organization, account and authentication records, assigned projects, files and file metadata, document requests, comments or approvals, and support communications. Submit client material only through the workspace assigned to you and only when it is appropriate for the engagement.
Information collected through website use
The web server and security tools may process technical information such as IP address, browser and device type, requested URL, referring page, date and time, and error or security events. If analytics or consent-based measurement is enabled, the site may also measure page views, interactions, campaign information, approximate location, and completed inquiry events.
Browser settings and any consent controls presented on the site can affect optional measurement. Essential storage may still be used for security, form integrity, load balancing, or preferences needed to provide the site.
The client portal may also record invitations, sign-ins, failed access attempts, membership or permission changes, uploads, previews, downloads, versions, sharing actions, malware-scan results, deletion or restoration events, and related device or network information. The public client-gateway page does not collect portal credentials and does not run optional website analytics.
How Prismo uses information
- To review, respond to, and keep a record of inquiries.
- To assess project fit and prepare a requested conversation, scope, or proposal.
- To operate, secure, troubleshoot, and improve the website and its forms.
- To provide assigned client workspaces, deliver project files, collect requested materials, maintain version history, and support access.
- To verify identity and authorization, investigate misuse, maintain audit records, and revoke access when appropriate.
- To understand which content and channels support useful business inquiries.
- To comply with applicable obligations, resolve disputes, and prevent misuse.
When information is shared
Prismo may use service providers for website hosting, identity and access management, managed document storage and workflows, email delivery, analytics, security, malware scanning, backups, form processing, and business administration. Those providers may process information for the service they perform. Authorized members of your organization and Prismo personnel assigned to the engagement may access portal information according to their role.
When connected, the client portal is delivered through Progress ShareFile. ShareFile may use essential authentication and security cookies and process portal data in the account region selected during provisioning. Prismo will confirm the applicable provider terms, data region, and contractual safeguards before enabling live client access.
Information may also be disclosed when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or complete a business reorganization. Prismo does not offer personal information for sale and does not publish submitted project information unless permission is obtained separately.
Retention
Inquiry, portal, file, version, and operational records are retained only as long as reasonably needed for the purposes described above, the applicable client agreement, project administration, access auditing, security, dispute resolution, and recordkeeping obligations. Workspace access and file-retention periods may differ by engagement. Deleted material and backup copies may remain until the provider's recovery or backup cycle completes, unless a legal hold or other obligation applies.
Security
Prismo uses reasonable administrative and technical safeguards appropriate to the service, including managed access controls for client workspaces. No website, identity provider, transmission, or storage system can be promised to be completely secure. Do not email confidential project files or enter portal credentials on the public Prismo website. Report an unexpected prompt, invitation, or access result before continuing.
Your choices and requests
Depending on where you live and the law that applies, you may have rights to request access, correction, deletion, restriction, or a copy of certain personal information. You may also object to or withdraw consent for certain processing. Send a request to [email protected]. Prismo may need to verify the request and may retain information where a legal or legitimate requirement applies.
Third-party websites
This site may link to services Prismo does not control. Client sign-in and document handling may occur on a managed provider's domain under its applicable role and agreement. Its privacy and security terms may also apply once you leave the public Prismo website. A link is not a statement that Prismo controls every provider practice.
Children
This business website is not directed to children under 13, and Prismo does not knowingly request personal information from them through the project form. If you believe a child submitted information, contact Prismo so the situation can be reviewed.
Changes to this notice
Prismo may update this notice as the website, service providers, or legal requirements change. Material revisions will be reflected by the updated date on this page.
